Here are the steps you should take weekly when approving time sheets for hourly employees within your DLC. Time sheets must be reviewed and processed by 5:00 pm Monday for the previous week. If the Institute is closed on a Monday, the deadline is Tuesday at noon.

Confirm approval authority

To review and approve or edit an hourly time sheet for support and service staff or students in your DLC, you must have authority as an approver, distribution reviewer, or time sheet administrator. When you log in to Atlas and click on “Time and Vacation Approval” in the full catalog, you’ll see an option to “Approve/Distribute Time Sheets.” The Atlas time sheet display will gray-out any positions for which you don’t have approval authority.

Review line items

The line items for which you have authority will automatically display an approval checkmark. If a line item is incorrect or requires clarification, you must remove the checkmark by clicking on it. As an authorized approver, you also can add, delete, or modify line items for hours or position(s) by following the instructions in Atlas.

Time sheet approvers must review and take action to approve time sheets (or remove hours if they are confirmed not to have worked) by 5:00 pm on Monday for the previous week. If the Institute is closed on a Monday, the deadline is Tuesday at noon.

Complete approval

When you finish reviewing line items, you can approve the time sheet by clicking the “Save” button. The time sheet is now approved and automatically moved into the payroll production cycle.

If you need to approve more than one time sheet, use the navigation buttons in Atlas to move to the next or previous time sheet or to see an overview of all the time sheets for which you have approval authority. Clicking on “Home” will end your session.
