Coming Soon: New Timesheet Entry Application

In response to MIT community feedback, the Institute has been revamping our Timesheet Entry and Approval applications to address some of the most common pain points. The new Timesheet Approval application has been available to users since summer 2024. This month, the Office of the Vice President for Finance began using a new Timesheet Entry application with a small group of pilot users. Our goal is to have both applications available to all users in April.

Feedback from the pilot group will help us make final updates to the Timesheet Entry application and the associated training and reference materials currently in development.

New Functionality for Time Approval App

We will also introduce new functionality to the Time Approval app for time that was auto-approved by Payroll. This new functionality will require an after-the-fact review, which will be tracked in the system. A timesheet will remain in the approver’s to-do list until the after-the-fact review has been completed. This ensures proper DLCI review for all timesheets before or after payment has been made.

Atlas Web Functionality

The existing Atlas web functionality will remain available until we ensure all users have the tools to transition to the new applications. Our goal is to retire the existing Atlas web functionality later this year. To facilitate the transition to the new applications, we will contact DLCIs to demonstrate both applications, share best practices for using the app, and answer your questions.

Additional Communications

Please share this information with anyone in your DLCI who will be impacted by these changes. As the transition to the new applications draws closer, VPF will send additional communications to time approvers, employees, and students who submit timesheets.
