To save time and minimize expenses, take these steps when booking ground transportation.

Renting a car

Due to significant safety and security risks, MIT travelers are strongly discouraged from renting vehicles in most international destinations. However, if you must rent a vehicle, be sure to first learn about local driving laws and regulations.

If you rent a car for MIT travel in any international destination including Canada, Mexico, Bermuda, Puerto Rico, and the Caribbean Islands, (or in Alaska), you must purchase the insurance offered by the rental car agency. Note that MIT does not extend any insurance coverage or indemnification to your business invitees.

Budget Rent A Car and Avis are MIT's preferred car rental agencies. Follow links to these customized pages for MIT travelers to ensure you receive MIT's preferred rates.

You can pay for the rental agreement (including required insurance) with the MIT Travel Card, or use your own funds and get a reimbursement. Submit a Travel Expense Report within 30 days of the completion of your trip.

Using shuttle services and taxis

You can pay for miscellaneous ground transportation with the MIT Travel Card—including shuttle services to and from airports and train stations, and taxi fares to appointments and places of temporary duty—when public transit or shuttle service is unavailable or impractical.

Save receipts for fares and tips and submit a Travel Expense Report within 30 days of the completion of your trip.
