As we settle back into our on-campus work arrangements, many travelers and event planners are now navigating new Covid-safe policies and interacting with a changed vendor landscape. We reached out to Jessica Tam, VPF Strategic Sourcing Analyst for travel and hospitality for a summary of changes from VPF’s Preferred event, travel, and rental vendors. Questions? Catering

The hospitality industry has been hit hard by the pandemic shutdown. Even after some restrictions were lifted by the Centers for Disease Control (CDC), most are struggling to re-hire staff or train new staff leaving some caterers to operate with reduced staffing levels. VPF’s Strategic Sourcing team has kept in close contact with Preferred caterers, who roundly say they’re looking forward to business resuming from MIT.

Event Rentals

If you are planning an event on campus, check out these three Preferred suppliers for your event needs. VPF has contracted with Christian Party RentalInterstate Rental Service, Inc., and Peak Event Services for tent and event rentals. Details on the benefits of pre-negotiated terms and conditions and information on how to book may be found on each supplier's page on VPF’s Supplier Search. Invoices should be processed through Buy-to-Pay (B2P), so that they can be routed for review.

Preferred Pricing with Budget Truck Rental for Local Rentals 

Need to haul oversized decorations to your event venue, or drop off the items collected through your holiday charity drive? VPF Strategic Sourcing and Contracts has contracted with Budget Truck Rental to provide cargo vans and moving trucks for local moves. We remind you that cargo vans can be driven under Boston and Cambridge bridges on Storrow and Memorial Drives, but moving trucks are too tall to fit under these bridges—the highest bridge clearance on these two roads is 10 feet. Avoid getting stuck under a bridge (aka "Storrowed" ) by checking the height of your rental truck before heading out or avoid these two major roads if you can. Rentals may be purchased on a Travel Card.
