Automobile Rentals

MIT faculty and staff who rent vehicles for MIT-related business in the United States and Canada are strongly encouraged to use the rental agencies with which MIT currently has standing agreements. Both the Main Campus and Lincoln Laboratory currently have corporate agreements with Budget and Avis. These agreements waive the standard rental agency condition that all drivers must be at least 25 years old. Additionally, these corporate agreements limit or waive MIT’s responsibility for damages to the rental vehicle, in the event of a collision (refer to the table below for specific coverages and corporate codes). Please provide the rental agent with MIT’s corporate number when renting vehicles for MIT business from Budget or Avis. Collision Damage Waiver (“CDW”) coverage, for domestic rentals, while on MIT business, should be declined. CDW coverage for international rentals, while on MIT business, should be accepted.

In the event that another agency is utilized, the MIT Office of Insurance self-insures the liability and physical damage coverages and therefore the physical damage and liability coverages offered should be declined.

International rentals may not be covered (or available) under the Budget or Avis agreements. Insurance coverages should be purchased with any vehicle rented outside the United States or Canada, at the department’s expense, for any MIT-related trips abroad.

The insurance coverage mentioned above is not extended to the FSILG community. The FSILG community organizations must purchase the collision and liability insurance offered by the rental car agency of their choice, or make appropriate arrangements to cover this exposure.
