Automobile Accidents


All accidents involving an MIT-owned vehicle should be reported to the Office of Insurance as soon as possible. You may print a copy of the RMV Accident Report, which can be found on the RMV website. The completed form should be returned to the Office of Insurance as soon as possible. To be assured that your claim will get prompt attention, make sure that all pertinent information has been included:

  • Date and location of accident; make/model/year of vehicle;
  • VIN and registration number;
  • MIT driver, contact name, and number;
  • Other driver/owner name, insurance information, address and phone number (if applicable);
  • Extent of damage to vehicle(s), being as specific as possible as to the location of damage;
  • Injuries; and,
  • Brief description and diagram of accident including photographs (if possible).

Upon notification and receipt of a claim, the Office of Insurance adjuster will perform an investigation and may schedule an inspection of the damaged vehicle(s) through the MIT department contact reflected on the report. Should the department wish to follow up with the Office of Insurance regarding the status of the claim, contact the MIT Adjuster.

Physical damage to an MIT vehicle, due to some covered peril other than collision, should also be reported, if the damage warrants repair. This type of incident should be reported on the same report form used for collision damage claims. It is best to include two estimates of repairs for physical damage claims, along with the completed accident report. Note that all physical damage to MIT vehicles resulting in repair costs of $500 or less is the responsibility of the department, regardless of fault. Any costs above $500, if approved, will be reimbursed by the Office of Insurance. If another party is at fault, the Office of Insurance will subrogate damage expenses on the department’s behalf and reimburse any and all recovered funds to the department.

In the event of an accident involving a rental vehicle while on MIT-related business, the following information should be submitted to the Office of Insurance:

  • Cover letter from the department, indicating that the accident occurred while on MIT-related business;
  • Copy of both sides of the rental agreement;
  • Copy of the approved travel expense report, reflecting the car rental; and
  • Any correspondence received from the car rental agency, including repair bills.
