These resources will help you identify and manage overdue invoices for your DLC’s sponsored projects.

Choose SAP or Cognos reporting tool

You can run a sponsored receivables aging report in either SAP or Cognos. Use the SAP Fast Path command “ZSR1” to run general reports or SAP Fast Path “ZAGE” to run a “Sponsored Research Aging by Invoice” report. Find instructions for SAP here. In Atlas, follow the tools menu to Cognos Reporting Tool. From there drill down to IBM Cognos Content, to Central Reports, to Financial reports, and find DLC Sponsored Billing Aging Report. Find a sample report for Cognos here.

Set search criteria or sorting options

In SAP, you can set your search criteria to run aging reports for a range of WBS elements, projects, or profit centers. In Cognos, you can sort reports with filters for cost collector IDs, supervisors, or profit centers. You also have the option of linking to a report that displays all aging categories. Use links to instructions in step above.

Choose aging or overdue days

The SAP reporting tools requires you to enter a specific “Aging as of?” date for your reports. Use the current date if you want to display all overdue items that meet your search criteria. If you are working in Cognos, you have three “Days Overdue” options: from 61 to 90, from 91 to 120, or more than 120. You can run your reports to display one, two, or all three options.

Specify report format

Cognos offers several formats in which to view/print your reports including HTML, PDF, XML, CVS, and Excel. In SAP, you can use the ALV display option and export the file into Excel.
